RCF Peculiar Family (“we,” “our,” or “the Fellowship”) is a campus Christian fellowship operating under the motto “Aggressive Evangelism.” This Privacy Policy explains how we collect, use, store, and protect the personal information of our members through the RCF Peculiar Family Portal (the “App”).

When you register and use the App, we collect the following information:

• Full name (first, middle, and last)
• Email address
• Phone/WhatsApp number
• Date of birth
• Academic information: department, level, course duration, expected graduation year
• Residential information: hostel name and room number
• Date you joined the fellowship and how you heard about us
• Prayer requests (voluntarily submitted)
• Personal challenges (only if you choose to share them)
• Attendance records
• Feedback messages submitted through the App
• Profile avatar selection
• Your unique member ID code (RCF_XXXXXXX)

We use the information we collect to:

• Create and manage your fellowship membership profile
• Track attendance and follow up with members who may need support
• Send you birthday greetings, graduation messages, and encouragement
• Display your profile information in your personal dashboard
• Allow fellowship coordinators to provide pastoral care and spiritual support
• Generate anonymized analytics (e.g., how many members are in each department)
• Notify you of upcoming fellowship events and weekly service reminders
• Calculate your expected graduation year for academic tracking purposes

Your personal data is accessible only to:

• You — through your personal dashboard, where you can view and update your own profile at any time.
• Fellowship Coordinators and Admins — authorized members of the RCF Peculiar Family leadership who use the data solely for pastoral follow-up, attendance tracking, and member care. They are bound by the fellowship's code of conduct and confidentiality expectations.
• Super Admin — the ultimate administrator of the system, responsible for overseeing data integrity and coordinator access.

Your prayer requests and personal challenges are treated with the highest level of confidentiality and are only accessible to coordinators for the purpose of providing pastoral support. They are never shared publicly or outside the fellowship.

Your data is stored securely using Supabase, a trusted cloud database provider with industry-standard encryption and security practices. All data is transmitted over HTTPS. Email communications are handled via Resend, a secure transactional email service.

Access to the admin dashboard is protected by role-based authentication, meaning only verified coordinators with proper credentials can access member data.

We retain your data for as long as you are an active member of the fellowship. Specifically:

• Once your expected graduation year is reached, your core profile information (name, email, phone, department, graduation year, member code) is automatically moved to an alumni record for historical purposes.
• Five months after your graduation year, your full account and sensitive personal details are automatically and permanently deleted from the active database.
• Your member ID code is released back into the pool and may be reissued to a new member.
• Your alumni record (containing only basic non-sensitive information) is retained indefinitely as part of the fellowship's history.

As a member, you have the right to:

• Access your data — view your complete profile through your dashboard at any time.
• Update your data — edit your profile details at any time through the “Edit Profile” section.
• Request deletion — contact us at rcfpeculiarfamily@gmail.com to request that your account and personal data be deleted before the automatic deletion schedule.
• Withdraw consent — you may choose not to provide optional information such as prayer requests or personal challenges at any time.

The App uses session cookies solely for the purpose of maintaining your login state. We do not use tracking cookies, advertising cookies, or any third-party analytics tracking tools. No data is sold to or shared with advertisers.

This App is intended for university students who are generally 16 years of age or older. We do not knowingly collect personal information from children under 13. If you believe a minor has registered without appropriate consent, please contact us immediately.

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. We encourage members to review this policy periodically. Continued use of the App after changes constitutes acceptance of the updated policy.
